1. Who We Are and What This Policy Covers

Soma Vine Village Pvt. Ltd., referred to in this Privacy Policy as “Soma Vine Village”, “we”, “us” or “our”, is responsible for the personal information we collect and use in connection with our online booking website.

This Privacy Policy explains how we collect, use, store, share and protect personal information when you browse our booking website, check availability, create a guest account, make or manage a reservation, complete a payment or communicate with us about your booking.

It also applies to information provided about other guests included in a reservation.

This Privacy Policy is separate from our booking terms, cancellation policy and refund policy, which govern the commercial conditions of your reservation.

2. Personal Information We Collect

The information we collect depends on how you interact with us and the services you request.

Contact and guest information. We collect information such as your name, email address, telephone number and, where required, your address. We use this information to identify the booking guest, respond to enquiries and communicate about reservations.

Reservation information. This may include check-in and check-out dates, room selections, rate plans, the number of adults and children, children’s ages where relevant to a booking, guest names, booking references, special requests and records of changes or cancellations. We use this information to check availability, calculate applicable charges and arrange your stay.

Guest account information. When you create an account, we collect the details required for registration, including your name, email address, telephone number and password. We use account and authentication information to provide access to your account and help you manage your bookings. Soma Vineyard Resort

Payment and billing information. We may receive payment references, transaction amounts, currencies, payment status, refund details and limited payment-method information from the payment provider. Where needed for billing, we may also collect a billing address, business name and GST identification number.

Communications and preferences. We collect information you provide through enquiries, emails, telephone conversations, messages, complaints and feedback, together with any communication preferences or consent choices you provide.

Technical and usage information. Our website and service providers may collect information such as your IP address, browser and device type, access times, pages visited, referring website, session identifiers and technical error records. We use relevant information to operate the website, maintain security, troubleshoot problems and, where enabled and appropriately disclosed, understand website usage.

Where identity or nationality information is required for check-in or guest-registration obligations, we will request it through the relevant process and explain its purpose.

Please provide only information necessary for your booking or request. If an accessibility, dietary or other special request involves health-related information, we will use that information only to address the request or another lawful purpose, obtaining consent where required.

3. How and Why We Use Your Information

We use personal information to provide the booking and hospitality services you request. This includes confirming reservations, arranging accommodation, managing guest accounts, processing payments and refunds, issuing invoices, responding to enquiries and handling booking changes.

We also use relevant information to maintain booking and accounting records, investigate payment discrepancies, prevent fraud or misuse, resolve disputes, protect our systems and comply with applicable legal obligations.

Where consent is required, we obtain it for the relevant collection and use of your information. Where applicable law permits or requires processing without consent, we process information only within that permission or requirement.

You may decline to provide optional information. However, without information necessary to process a reservation, payment or legally required guest registration, we may be unable to provide the relevant service.

Visiting our website or making a booking does not, by itself, constitute consent to unrelated marketing.

4. Payments

Online payments are handled through the payment service provider identified during checkout.

The payment provider may collect payment and authentication information directly to authorise and process your transaction. Its handling of that information is also governed by its own privacy notice and applicable payment requirements.

We use the transaction information made available to us to confirm payments, reconcile bookings, process refunds, investigate unsuccessful transactions and resolve payment-related queries.

Please do not send full card details, card security codes, UPI PINs, banking passwords or payment one-time passwords through ordinary email, booking notes or messaging channels. Enter payment credentials only in the appropriate payment interface.

5. Incomplete or Unsuccessful Bookings

If you submit information during the booking process but do not complete your reservation, information already transmitted to our systems may still be processed for purposes such as investigating a failed payment, responding to your request for assistance, preventing duplicate transactions or maintaining necessary security records.

An incomplete booking does not automatically create a confirmed reservation or enrol you in promotional communications.

Any feature that collects or saves information entered into a form before you submit it will be explained through a notice presented before that collection begins, with consent obtained where required. The notice will identify the relevant information and its intended use.

6. Cookies and Similar Technologies

Our booking website uses cookies or similar technologies where necessary to operate features such as guest sign-in, booking sessions, room selections and website security.

Where optional analytics, advertising or personalisation technologies are used, their purposes and providers will be disclosed through the relevant notice, and consent will be requested where required. Refusing optional technologies will not be treated as a refusal to use the booking service.

You can also manage cookies through your browser settings. Blocking essential cookies may prevent certain features, including sign-in or checkout, from working correctly.

Information obtained through cookies or similar technologies is handled in accordance with this Privacy Policy and any applicable cookie notice.

7. Booking Communications and Marketing

We use the contact details associated with your booking to send necessary communications, such as reservation confirmations, payment updates, cancellation information, check-in instructions and responses to your enquiries.

Depending on the communication channels used for your booking and your permissions, these communications may be sent by email, telephone, SMS or messaging services.

Promotional offers and other optional marketing communications will be sent only with your consent. You may withdraw that consent using the unsubscribe option provided, where available, or by contacting us.

Withdrawing marketing consent does not prevent us from sending necessary communications about an existing booking or meeting our legal obligations.

8. When We Share Personal Information

We share personal information only where necessary for the purposes described in this Privacy Policy or otherwise permitted or required by applicable law.

Property personnel. Relevant information may be accessed by authorised reservations, reception, accounts and guest-service personnel who need it to carry out their responsibilities.

Booking and technology providers. We use service providers to support booking operations, hosting, system maintenance, customer communications and related functions. Our booking website identifies PowerOTA as its technology platform. Soma Vineyard Resort

Payment providers and financial institutions. Relevant information may be shared to process payments, issue refunds, investigate payment problems or address fraud and chargebacks.

Professional advisers and authorities. Information may be disclosed to professional advisers where necessary for accounting, audit, legal or compliance purposes, and to public authorities where disclosure is lawfully required or permitted.

Service providers processing personal information on our behalf are required to protect it and use it only for the authorised services, except where they have separate legal obligations.

We do not sell or rent guests’ personal information.

9. How Long We Keep Information

We retain personal information for as long as reasonably necessary for the purpose for which it was collected, unless a longer retention period is required or permitted by applicable law.

The applicable period depends on factors such as whether a booking or account remains active, whether a payment or refund is outstanding, whether a complaint or dispute remains unresolved, and whether accounting, tax, guest-registration or security requirements apply.

Marketing information is retained in accordance with your consent and applicable requirements. We may retain a limited record of an opt-out request to ensure that we continue to respect it.

When personal information is no longer required, we delete it or irreversibly anonymise it, subject to applicable legal requirements and controlled backup-retention processes.

10. Information Security and Processing Locations

We maintain reasonable technical, organisational and physical safeguards appropriate to the nature of the information we handle. These include measures to restrict access to authorised personnel, protect systems and address security risks.

No website, communication channel or storage system can be guaranteed to be completely secure. If a personal data breach occurs, we will take appropriate steps to respond and make notifications required by applicable law.

Please protect your guest-account credentials and notify us promptly if you suspect unauthorised access.

Depending on the service providers involved, information may be processed in India or other countries. Where information is transferred internationally, we will comply with applicable transfer restrictions and protection requirements.

11. Your Privacy Choices and Requests

You may contact us to ask about the personal information we hold about you, how it is used and the parties with whom it is shared.

Subject to applicable law, you may request access to your information, correction of inaccurate or incomplete information, deletion of information no longer required, or withdrawal of consent for processing that depends on consent. Where applicable, you may also exercise rights relating to nomination and grievance redressal. Statutory rights apply from the dates on which the relevant legal provisions become effective. Press Information Bureau

We may request limited information reasonably necessary to verify your identity or authority before acting on a request.

Withdrawing consent does not affect processing lawfully carried out before withdrawal. If the information is necessary to provide a requested service, withdrawal may affect our ability to continue that service. We will explain any relevant consequences.

Deletion requests may be limited where information must be retained to meet legal obligations, complete outstanding transactions or establish, exercise or defend legal claims.

12. Children and Bookings for Other Guests

Bookings and guest accounts should be made by adults aged 18 or over.

An adult making a family reservation may provide information about accompanying children where necessary to arrange accommodation and calculate applicable charges. Where required by law, we obtain verifiable consent from a parent or lawful guardian before processing a child’s personal information.

We do not use children’s personal information for targeted advertising.

If you provide information about another adult guest, you should have the authority to do so and make this Privacy Policy available to them. We may obtain their consent directly where required.

Parents or lawful guardians may contact us with concerns about a child’s information or request its correction or deletion, subject to applicable legal requirements.

13. Third-Party Websites and Changes to This Policy

Our website may contain links to independent websites or services. Their collection and use of information are governed by their own privacy notices. This does not limit our responsibilities for service providers processing information on our behalf.

We may update this Privacy Policy to reflect changes to our services, practices or legal obligations. The updated version will be published on the booking website with a revised “Last updated” date.

Where a change requires additional notice or fresh consent, we will provide that notice or obtain the required consent. Continued use of the website will not be treated as consent where a separate affirmative choice is required.
